Meeting Planner
Find the best time for a meeting across multiple time zones instantly — free, visual, and color-coded for business hours.
What is a meeting planner?
A meeting planner converts a single proposed meeting time into the local time for every participant's time zone at once, so you can compare them side by side instead of converting one zone at a time.
Each result is also tagged with a business-hours indicator, making it easy to spot at a glance whether a proposed time falls during the working day, early morning, evening, or late night for each region joining the call.
How to use it
Three steps, no learning curve — set a time, add zones, compare instantly.
Pick a date & time
Set the meeting time in your own reference time zone.
Add each participant's time zone
Build a list of every city or region joining the call.
Check business hours at a glance
Each row is color-coded so you can spot who's in or out of working hours instantly.
Best practices to keep in mind
A few things worth knowing when scheduling across time zones.
- Aim for a time that falls in business hours for the most participants, even if it means someone joins slightly early or late — a meeting that's convenient for nobody serves no one well.
- Daylight saving time shifts happen on different dates in different countries, so a time that works well one month can shift by an hour relative to another region a few weeks later — recheck recurring meetings seasonally.
- A red 'late night' or 'early morning' badge doesn't automatically rule out a time slot — for occasional high-priority meetings, some participants may prefer an inconvenient hour over missing the discussion entirely.
- When scheduling a recurring meeting across time zones, pick a specific city representative of each region rather than a vague zone name — 'Asia' spans multiple UTC offsets, but 'Asia/Karachi' is exact.
